Agree who supplies the records, who explains the findings and who handles the next conversation after you return. A completed visit and an organised handoff are different tasks. Put the arrangements in writing before relying on them.
This plan concerns administration. It does not determine when you can travel, which follow-up you need or whether a proposed procedure is suitable. Ask your treating team about clinical timing and urgent concerns.
1. Separate the visit date from the report date
Ask when each document will be available and how you will receive it if it is issued after departure. Record an expected date as an estimate unless the provider confirms otherwise. Do not assume every report will be ready on the day of the visit.
If someone says they will “send everything”, ask what that includes. Use the records checklist and imaging transfer guide to prepare questions about the requested files. The receiving team determines what it needs.
2. Make a handoff sheet
Fill this in privately. Do not paste medical details into a public forum or send records to an unverified contact.
| Item to confirm | Written arrangement | Still unanswered |
|---|---|---|
| Records to be supplied | ______ | ______ |
| Delivery route and expected date | ______ | ______ |
| Language or translation arrangements | ______ | ______ |
| Appointment to explain the findings | ______ | ______ |
| Clinician or service for continuing care | ______ | ______ |
| Contact for administrative questions | ______ | ______ |
| Follow-up charges included or separate | ______ | ______ |
A named contact does not, by itself, mean someone has accepted ongoing clinical responsibility. Confirm the role and keep the actual correspondence with the sheet.
3. Ask about follow-up before comparing the totals
The CDC medical tourism chapter recommends obtaining overseas records and planning continuing care. It also advises checking which services and follow-up costs are included. This is US-oriented guidance, not a statement of Chinese hospital policy or your insurance coverage.
Use the quote comparison worksheet for costs. This handoff sheet answers a different question: which tasks have a confirmed owner?
4. Keep the next decision separate
If you are requesting another clinician's assessment, the written second-opinion question sheet at Before You Decide Care helps clarify what the review should answer. That resource explains the scope of a written review; it does not arrange or provide one.
If the trip is for a broad check-up, read Longevity Decision Guide's distinction between screening and diagnostic testing. Organising records does not establish that a test is needed.
